Begin reviewing Best Practices document update suggestions – final review and update will occur at the May 2024 meeting.
Best Practice addition suggestions:
New book request guidelines/time suggestion: Wait until at least 30 days after publication date.
Alice Ward – set policy for lending at six months, but is willing to adjust.
April will investigate options to put the reminder about requesting new items right on the request form.
Suggestion for lost items: “Communicate with loaning library before paying for or replacing a lost item. Their internal policies will need to be followed.”
If an item is older sometimes it’s only available as a paperback. Needs a level of communication to clarify if it’s okay.
Suggestion: Checking in items owned by other libraries before returning in CLOVER (consortia specific topic)
Do not use the lending library barcode in your ILS, please use CLOVER barcodes or your own institutions temporary barcodes.
Reminder of Best Practices: it is suggested to include paperwork that notes the request number, due date, and borrowing library name. This makes it easier for libraries to locate in Clover to update (especially if a high-volume library).
Missorts in courier
Missorts are being reported to Priority to address in the warehouse.
There has been a spike in old labels being used – which contributes to missorts. Please check your labels to make sure that only the most current are being used. Bin codes are listed on the courier schedule and can help with making sure only the newest labels are being used.
There have been reports of a number of labels stuck into the label window in some missorts. Please remove any old labels from the bag and only put in the label for the destination. If you include your return label, place it face down.
There was a brief review/demo of the Participant Record in CLOVER and how to make any changes to your library record, which is available in the recording.

Review and approve changes to the Best Practices for ILL Document. Please submit any additions, deletions, or changes you would like to see in the Best Practices at least two weeks prior to the May 9th meeting. All suggestions will be shared out ahead of the meeting to allow for time to review.
